8 Questions to Ask Before Choosing a Leasing and Management Partner

Before appointing a leasing or management partner, use these eight questions to understand exactly how the arrangement will work.

A property management relationship can continue for years, so it deserves more than a quick comparison of fees. Owners need to understand who is responsible for what, how decisions are made and what support they will receive after the agreement begins.

These eight questions are designed to move the conversation from general promises to practical details. A professional provider should be able to answer them clearly and show where the answers appear in the written agreement.

1. What leasing structure are you proposing?

Ask who will lease the property, who will manage occupants and which agreements will be used. Terms such as 'fully managed', 'long-term lease' and 'room management' can describe different structures. You should understand the legal and commercial relationship between every party.

2. Which properties are a good fit for your model?

A credible provider should have clear suitability criteria and be willing to explain why a property may or may not qualify. Ask how location, size, layout, condition and local demand affect the assessment. Be cautious if approval appears automatic before the home has been properly reviewed.

3. What is included in the service?

Request a written list covering advertising, enquiries, occupant communication, inspections, rent administration, maintenance coordination, reporting and compliance-related tasks. Then ask what is excluded or charged separately.

A short service label is not a substitute for a detailed scope. Clarity now reduces disagreement later.

4. How are repairs and urgent issues handled?

Ask how maintenance is reported, who decides whether a repair is urgent, which trades are used and when owner approval is required. Confirm any spending authority, emergency process and method for documenting work.

Owners should also know which costs remain their responsibility and how quotes or invoices will be shared.

5. How often will I receive updates?

Some owners prefer a concise scheduled report; others want more detailed visibility. Ask what information is provided, how frequently it arrives and who you contact when you have a question. The reporting process should be practical for both routine updates and important decisions.

6. How do you approach compliance?

The provider should be able to describe its process for identifying applicable requirements, recording checks and escalating matters that need specialist advice. No provider should imply that a general management service replaces legal, building, electrical, gas or other qualified advice where it is required.

7. What happens if circumstances change?

Review the term, renewal, notice and termination provisions. Ask what happens if the property needs major work, you decide to sell, the provider's operating model changes or either party cannot continue. Also check what records, keys and funds are transferred at the end.

8. Can I review the full agreement before deciding?

You should have time to read the agreement, ask questions and obtain independent advice if appropriate. Compare every important verbal statement with the written terms. If a benefit depends on conditions or exclusions, those should be easy to find and understand.

Choose clarity over pressure

A strong partnership begins with transparent expectations. The right provider will not only explain what it does; it will also explain the owner's continuing responsibilities and the limits of the service.
